You're Booked! Now what?
The contract has been signed, your even date has been reserved and we are officially booked as your Photographer/Videographer! Now what? Here's a just a few major timeline events leading up to and including the Wedding day so you can know what to expect from us all along the way.
- What We've Done So Far -
Scheduled and reserved your date to ensure that I will be your Photographer/Videographer the day of and don't double book the date.
We've made a donation in your name to the Humane Society of Pittsburgh & 412FoodRescue. The community thanks you!
Sent out a new client welcome pack. Look for it in the mail in the next couple weeks! (live:08/01/21)
Emailed you a list of our favorite vendors to work with in the area just in case you still need to book anyone and are looking for recommendations. (live:08/01/21)
Set up your profile in our client management system to ensure we have all your contracts, invoices, questionnaires, etc.. filed and organized. We also emailed you a link to your own client login portal for even easier access to all of these resources in one convenient place.
Set up all of your payments/invoices in our online system so that you can pay as you go however you'd like(e-check, credit/debit card(3% fee), Business Venmo[@davisphotovideo]) and at any time that's convenient for you, 24/7.
We'll also email out blog posts all along the way to give as many tips and advice as possible before the big day.
- Leading Up To the Day -
I am always open and available for any questions, concerns, or even just wanted to bounce an idea off of us for a portrait location, we always love to here from you. With that being said I am also aware of how busy it can be for you leading up to the day so I try be as respectful as possible of your time. I always have an open door whenever is convenient for you so never be afraid to email, call or text me anytime.
Schedule and reserve your date for the engagmenet photo session. (if included)
I'll check in with any coordinators or planners to ensure we are on the same page, know what is expected of us and how we can help them through the process to make it as easy as possible on them and you.
I'll also check in with your venue(s) to ensure there is no special insurance or waivers needed beforehand to work at their space.
If we haven't worked at your venue(s) before we'll always schedule a walk through in the months leading up to the date to ensure we are familiar with the space, rules, and know what is expected from us as a Vendor.
Unless you have booked us closer to the event date I will always reach out 3 months before the date to just check in and touch base to see how the day is coming together for you. I also always love meeting up for a coffee if we haven't met in person yet or can even schedule a Skype call or Facetime. We know your time is limited during the planning process so this is always up to you but it is always great seeing and meeting you both before the day, even just for a quick chat.
- A Few Weeks Before the Wedding -
I'll schedule out a call with you to let you know what to expect from me, finalize a timeline, and just make sure we're both on the same page and sure up any questions or concerns you may have.
After our call I'll check in with all major Vendors to introduce myself, get on the same page for day's timeline and exchange contact info.
I will send out a Vendor list for you to fill out to ensure we have all of your Vendors on file so we can tag and give them credit for all their hard work. If your coordinator/planner has this list, just let me know!
If available on the date, I'll also come to your rehearsal to do a quick walk around and potentially drop off equipment for the day of if needed. We also ensure if there are any particular hotel rooms, event spaces, etc.. to go to so we don't have to bother anyone the morning of.
- The Day Of -
In the morning I'll check in with the person in charge for the day that I am ready to go and ensure an arrival time and location. If there is no coordinator that will be with you in the morning I'll just make sure to get a Maid/Matron of Honor/Best Man's number before the day so I have a direct point of contact.
The day of we try to be a fly on the wall as much as possible so you can just enjoy yourself and be in the moment. Just have your best day and we'll capture it!
At the end of the night I will always let you know a general timeline for the photo/films delivery date and then will have a follow up blog post emailed to you to let you know what to expect after the big day. We got you covered!
